Assistant Clinic Manager
At Central Texas Heart Center, PLLC, we provide high-quality, affordable healthcare to our community. We’re looking for an experienced Assistant Clinic Manager to join our team and to support our Coordinators. The ideal candidate will have experience managing a healthcare clinic, as well as experience with human resources. The Assistant Clinic Manager will be responsible for overseeing the day-to-day operations of the clinic, supporting our Clinical Coordinator and Business Office Coordinator, and ensure that all staff members are performing their jobs effectively.
We are looking for an Assistant Clinic Manager with these skill sets:
- Leadership: Leadership skills is a must to manage a team of staff members and ensure they complete their duties on time. Your leadership skills will be used to motivate your team and encourage them to perform well. You can also use leadership skills to delegate tasks and motivate employees to complete them.
- Communication: You will be required to communicate with several different parties, including patients, suppliers, team members, and administration. Effective communication can help you to convey information clearly and to ensure that everyone involved understands the same message.
- Organization: Organization is another skill that will help you be an effective Assistant Clinic Manager. You will be responsible for managing a team of employees, overseeing day-to-day operations, and ensuring that the clinic has the necessary equipment and supplies to operate. Being able to keep track of all the details of your job is necessary to be an efficient manager.
Assistant Clinic Manager Job Duties and Responsibilities:
- Ensure that all clinic operations are carried out in a smooth and efficient manner and communicate issues and/or concerns to administration.
- Oversee the daily operations of the clinic, including but not limited to team member’s work schedules, coverage assignments for absent team members, and ensuring equipment is operational.
- Assist in Human Resources tasks such as recruiting, onboarding, training and on-going personnel matters.
- Monitor and approve timesheets and process payroll.
- Perform credentialing for providers. Keep up with licensing for all providers.
- Handle customer and/or patient inquiries and complaints in a professional and courteous manner.
- Participate in the development and implementation of policies and procedures as needed. Perform follow up reviews to ensure they are being followed correctly.
- Monitor inventory levels and order supplies as needed (business and clinical supplies).
- Participate and collaborate in management meetings.
- Assist Administration with coordination of meetings and other operational matters.
- Facilitate meetings with assigned team members.
- Available to work outside of normal business hours when needed.
- Maintain the utmost confidentiality.
- Perform other duties as assigned based on the daily need of the practice.
Required Experience:
- 3-5 years’ experience in a management role in a medical practice setting.
- 1-2 years' experience in day-to-day operations on the business and clinical side of a healthcare practice.
- Proven track record of successful team leadership and building positive relationships.
- Excellent communication, problem-solving, and conflict-resolution skills.
Skills and Qualifications:
- Strong organizational and time-management skills.
- Working knowledge of Microsoft Office suite.
- Working knowledge of electronic medical records (EMR) such as eClinicalWorks, EPIC, or Meditech.

Practice Hours: Monday through Thursday 8:00am to 5:00pm, Friday 8:00am to Noon.
